– Manage registrar team including assistant registrar, preparator, and freelancers
– Interface with clients, artists, shippers, insurance companies, and contractors
– Prepare and track all incoming and outgoing loans and consignment agreements; ensure all paperwork is up to date and complete
– Plan installations for exhibitions, art fairs, and viewings
– Communicate with colleagues in the gallery’s research, sales, and marketing departments regarding inventory availability
– Provide cost estimates and negotiate expenses for exhibition budgets; verify and approve invoices
– Maintain, update, and ensure proper use of gallery style guides and protocols for receiving, releasing, and documenting artworks
Inventory and Storage:
– Manage inventory database and digital archives, including shipping invoices, certificates of authenticity, insurance, installation instructions, and other documents
– Maintain the collection of works on the gallery premises and in off-site storage, monitoring and recording environmental readings (temperature and humidity), and ensuring best practices for packing and storage
– Oversee cataloging, conditioning, measuring, and labeling incoming artwork
– Conduct annual inventory
– Oversee all framing, photography, and conservation needs
Shipping:
– Organize shipping and receiving domestically and internationally in a safe and timely manner for all gallery exhibitions, sales, loans, and art fairs
– Track and manage the gallery’s temporary exports; ensure export licenses are renewed or artworks are returned on time
– Conduct incoming and outgoing condition reports for each shipment
– Maintain detailed shipping records and ensure compliance with tax law requirements
– Courier high-value artworks as needed
