Sales Assistant

Rachel Uffner Galler seeks a Sales Assistant. The ideal candidate will have 2+ years of experience working in a similar capacity in the arts, preferably in an art gallery, and will be driven, detail-oriented, thoughtful, and hardworking. This role offers potential for growth, particularly in sales, and successful applicants will be highly focused on a career specifically within a gallery setting.

This role is primarily dedicated to administrative support for the gallery owner and sales director in all aspects of sales, from preparing offers and outreach lists, to generating and sending invoices, to keeping track of active conversations and helping with follow up.

This is a public facing position and applicants should be comfortable and interested in speaking to all visitors and artists, and developing relationships with clients and collectors. The Sales Assistant will be responsible for fielding inquiries and providing information and sales assistance to collectors, curators, press, and the general public when the gallery owner and sales director are off-site.

The Sales Assistant will also work closely with our registrar on consignment agreements as well as our gallery assistant to prepare materials and content for exhibitions and art fairs. They will also work closely with our bookkeepers and alert artists to payment and sales information.

The Sales Assistant will also be expected to help with general gallery support, such as answering the phones and general office upkeep, as needed.

Primary Responsibilities:
-Generate invoices, prepare sales previews and outreach lists, draft and help monitor offer emails.
-Manage online viewing rooms and web content related to sales.
-Work with gallery assistant to generate price lists and materials for exhibitions and art fairs.
-Create invitation lists for events and VIP lists for art fairs.
-Maintain and update client database using artlogic. Maintain offer lists and properly record notes.
-Work with registrar on consignment agreements and to maintain and update database records for available works.
-Enter and update prices in the inventory database with guidance from the gallery owner/sales director.
-Assist with insurance appraisals and monitor relevant auction records.
-Relay relevant information to bookkeepers and report sales and payment information to artists.
-Provide information and sales assistance to collectors, curators, press, and the general public.
-Provide general gallery support as needed, answering phones, contributing to general upkeep and office organization.

Qualifications
– 2+ years of experience in an art gallery, or art gallery-like setting
– Strong knowledge of contemporary art
– Strong writing skills
– Experience with client services/public interfacing
– Knowledge of Mac platforms
– Working knowledge of programs like Artlogic and Photoshop is a plus
– Professional appearance and demeanor and effective communication skills
– Highly organized with attention to detail
– Self motivated and driven to grow within the role
